Executive Summary

Challenge

Filevine is an operating system for legal professionals, supporting workflows across case management, document drafting and storage, depositions, immigration, and other legal work. When Filevine built Depositions by Filevine, it needed a reliable way to join remote depositions across meeting platforms and bring transcripts, metadata, and other meeting data into its product.

For Filevine, meeting infrastructure also had to meet the security requirements of a legal technology company. As Cain Elliott, Chief Legal Futurist at Filevine, put it, “Nothing's more precious or powerful for a law firm than the data of their clients.”

Solution

Filevine uses Recall.ai to power the meeting recording behind Depositions by Filevine. Recall.ai joins remote depositions and provides the live data Filevine needs to deliver transcripts with speaker names, meeting metadata, and intelligence to legal professionals during the deposition.

By relying on Recall.ai for the meeting capture layer, Filevine’s engineers can stay focused on building technology specifically for legal professionals rather than maintaining integrations across meeting platforms.

Results

By building on Recall.ai, Filevine:

  • Powers remote depositions with live meeting data, including speaker diarized transcripts and meeting metadata
  • Keeps its engineering and product teams focused on legal-specific functionality rather than meeting infrastructure
  • Adheres to strict internal security requirements and the security expectations of its customers
  • Supports a high-stakes legal workflow where meeting infrastructure needs to be available and working when clients need it

Legal technology has a higher bar for meeting recording infrastructure

Filevine builds software for situations where the stakes are high.

“You call a lawyer in times and situations when it matters a lot,” Elliott said. Filevine’s job is to give legal professionals a solid foundation for serving their clients.

That requirement extends to meeting infrastructure.

A remote deposition cannot simply be repeated if the technology fails. Filevine needs infrastructure that can reliably join depositions across the platforms its customers use and deliver the data required to power its product.

“Legal is high stakes work, so it matters that our tools are there, available, live, ready, and working when our clients need them,” Elliott said.

Filevine uses Recall.ai to power Depositions by Filevine

Depositions by Filevine is designed to act as a second chair for legal professionals during depositions.

Before a deposition, lawyers can provide objectives and other information they want to investigate. Filevine combines that context with information already stored in its system. Because many depositions happen remotely, the product also needs access to what is happening in the meeting itself.

In order to get the deposition context in real time, Filevine uses a Recall.ai bot to join the remote deposition and provide Filevine with transcripts, metadata, and other information used to power its deposition tooling. Filevine also receives a live feed of deposition data, allowing its legal intelligence system to reflect what is happening in the case in real time.

That lets Filevine focus its engineering resources on building out the functionality that legal professionals care about.

“What’s most important at Filevine and for engineering and product teams is that we build tools that are specified for legal,” Elliott said. “Recall allows our teams to focus on those elements and Recall takes care of the other side.”

Security is fundamental when meeting data contains sensitive legal information

For Filevine customers, security is one of the first questions that comes up.

“One thing that happens with every Filevine client is the first thing they'll ask us is: how is this information secured?” Elliott said. “Nothing's more precious or powerful for a law firm than the data of their clients.”

That made security a prerequisite for Filevine’s meeting infrastructure.

“Working with Recall, we never had issues passing the security requirements that exist within our own organization and the expectations that our clients have,” Elliott said.

For companies building AI products for lawyers and other legal professionals, that requirement extends beyond the application itself. The infrastructure handling meeting data also has to meet the security standards expected of the product.

Recall.ai lets Filevine specialize in legal, not meeting bot or desktop recording infrastructure

Filevine evaluated multiple tools before choosing Recall.ai. Elliott said the fit extended beyond the technology itself: Recall.ai worked closely with Filevine’s engineers to get a proof of concept running and continued providing fast access and support as the product developed.

Filevine’s goal was never to become an expert in meeting bots, desktop recording, or maintaining integrations across meeting platforms.

It wanted to build the best possible legal technology.

Recall.ai takes responsibility for the meeting recording infrastructure underneath that experience, while Filevine focuses on the workflows and intelligence that differentiate its product.

As Elliott put it:

“Let Recall take care of joining [and recording] your meetings, let them take care of the things they're experts at and build core tools for your clients that matter.”

Recall.ai's reliable meeting recording infrastructure supports high-stakes legal workflows

Depositions by Filevine has become an important part of how Filevine supports legal teams. Elliott describes the product as an “amazing second chair” that helps legal professionals through the deposition process.

Recall.ai provides the infrastructure underneath the remote meeting component of that experience.

For Filevine, the value is not simply being able to put a bot into a meeting or use the Desktop Recording SDK to capture a deposition. It is being able to build real-time legal intelligence on top of meeting data without asking its own engineers to become experts in getting data from meeting platforms.

In legal technology, where the underlying conversations can contain some of a law firm’s most sensitive client information and the meetings themselves can be difficult or impossible to recreate, that infrastructure has to meet a higher bar for reliability and security.

Recall.ai lets Filevine meet that bar while keeping its team focused on building technology for legal professionals.
